These Terms and Conditions (“Terms”) govern all reservations and rentals of recreational vehicles (“RVs”) from Camphost (“Camphost,” “we,” or “us”) to any individual or entity (“Renter,” “Lessee,” or “you”) who accepts them. By reserving or renting an RV from Camphost, you agree to be legally bound by the following Terms. If you do not agree, you should not proceed with any reservation or rental.

SECTION 1: INTRODUCTION

These Terms become effective when you make a reservation or take possession of the RV and remain in effect until the RV is returned and all financial and contractual obligations are satisfied. Camphost may update or modify these Terms at any time, and such changes become effective upon notice to you or by posting the updated Terms on our website.

SECTION 2: ACCEPTANCE OF TERMS

Your reservation and use of an RV from Camphost indicate your acceptance of these Terms in full. If you reserve an RV through a third-party platform (such as RV Share or Outdoorsy), you must direct any customer service or reimbursement requests to that platform. Camphost expressly disclaims liability for disputes arising from third-party bookings.

SECTION 3: ROLES AND RESPONSIBILITIES

  1. RelationshipThese Terms define the relationship between Camphost (the “Lessor”) and you, the Renter (the “Lessee”). You shall not represent or act on behalf of Camphost.
  2. Prohibited ActsYou may not assign, sublet, transfer, or loan the RV to any other person or entity without our prior written consent. Only authorized drivers listed in your rental documents may operate the RV. You may not alter, repair, or modify the RV or its components unless explicitly approved by Camphost in writing.

SECTION 4: SECURITY DEPOSIT

A security deposit is required for all rentals and is collected at the time of pickup. The standard deposit is USD $500 for motorhomes and USD $250 for travel trailers. Camphost may take up to ten (10) business days after the RV’s return to process and refund the deposit, provided there are no damages, additional fees, or violations of these Terms.

SECTION 5: MILEAGE POLICY

Each rental includes 150 free miles per rental day. Any mileage exceeding this daily allowance will be charged at USD $0.42 per mile. You may purchase additional mileage packages at discounted rates prior to the start of the rental. Mileage fees do not apply to membership bookinSECTION 6: FUEL POLICY

Camphost does not guarantee a full fuel tank at pickup. The RV’s fuel level will be documented, and you must return the RV with at least the same amount of fuel. If the RV is returned with less fuel, Camphost will charge the prevailing market rate per gallon plus a USD $65 service fee.

SECTION 7: TOLL POLICY

  1. Unlimited Toll PackageYou may opt for an Unlimited Toll Package at USD $5.99 per day, covering all tolls incurred during the rental period.
  2. Per-Toll FeesIf you decline the Unlimited Toll Package, any tolls incurred during your rental will be charged to your payment method, plus a USD $15 processing fee per toll occurrence, capped at USD $85 per rental.

SECTION 8: TRAVEL RESTRICTIONS

Restricted AreasCertain regions may be off-limits due to weather hazards, unsafe roads, or insurance constraints. You must notify Camphost if you plan to travel to high-risk areas. Unauthorized travel to restricted locations may void insurance coverage and result in additional fees.gs.

**Remote Camping (“Boondocking”)**You may take the RV to remote camping areas (“boondocking”), but Camphost discourages doing so unless you have experience operating an RV under such conditions. Mechanical or equipment failures are more likely when no external power, water, or sewer connections are available. Camphost is not liable for equipment failures under these circumstances, and you may be responsible for repairs resulting from improper or extreme usage (such as excessive battery drain, generator overuse, or poor waste management).

SECTION 9: VEHICLE INSPECTION, MAINTENANCE, AND LIABILITY

  1. Vehicle Switch. Camphost reserves the right to switch the RV if a potential mechanical issue is detected. If a switch is required, we will provide an equivalent or superior vehicle when available. You may decline the switch in exchange for a full refund of rental fees. If you accept the switch, the original rate applies unless the replacement RV is cheaper, in which case the difference will be refunded. No additional compensation will be provided for any inconvenience caused by a switch.
  2. Condition at Pickup. By taking possession of the RV, you acknowledge that you have inspected the vehicle, including tires, equipment, and furnishings, and found it acceptable unless otherwise noted in writing at pickup. Any issues should be reported immediately; otherwise, the RV is deemed accepted “as is.”
  3. Equipment Failure and Disclaimer. Camphost makes no guarantee of uninterrupted functionality of mechanical or onboard systems. The RV is provided “as is” and “with all faults,” and Camphost bears no liability for failures of equipment or systems, regardless of cause.

SECTION 10. INSURANCE COVERAGE

Camphost does not automatically provide insurance coverage unless otherwise stated or purchased through a third-party platform. If you are renting through RV Share, Outdoorsy, RVNGO, or another third-party platform that offers insurance, their respective policies will generally apply to the vehicle during your rental period. You are strongly encouraged to purchase or verify insurance coverage prior to the start of your rental. If you do not secure supplemental coverage, your personal auto insurance policy may be used to cover potential damages or liabilities arising from an accident, provided your insurer extends coverage to RV rentals. Some insurance providers (e.g., USAA, Allstate, State Farm) often cover RVs, whereas others (e.g., Progressive, Geico) may exclude motorhome rentals. In the event you do not have applicable insurance coverage, you will be personally liable for any damages, injuries, or claims. Camphost reserves the right to charge your credit card on file for necessary repairs or claim-related expenses, pursue collections, or negotiate a payment plan if you lack adequate coverage.

If an accident occurs:

  1. Third-Party Insurance. If you have purchased insurance through a third-party platform (RV Share, Outdoorsy, RVNGO, etc.), Camphost will coordinate filing a claim on your behalf. The respective platform’s insurance provider will generally handle and process the claim in accordance with their policy.
  2. Personal Auto Insurance. If you did not purchase supplemental insurance, Camphost may file a claim through your personal auto insurance if the policy extends coverage to RV rentals. It is your responsibility to confirm with your insurance provider whether your policy includes rental RV coverage.
  3. No Insurance Coverage. If you do not have insurance for the RV rental (whether via a third-party platform or your personal auto policy), you will be responsible for covering all damages, repair costs, and liabilities resulting from an accident. Camphost reserves the right to hold you liable for the total cost of repairs, property damage, or any related claim costs. In such cases, you may be charged through the payment method on file or invoiced directly for any balance due.
  4. Security Deposit. Camphost typically does not draw upon the security deposit when a collision occurs; instead, we will proceed with an insurance claim, unless you expressly opt to cover the damages out-of-pocket. If you choose to pay out-of-pocket, you must notify Camphost promptly to coordinate repair costs and payment arrangements.
  5. No Guarantee of Coverage. Camphost makes no representation or guarantee regarding the scope or applicability of any third-party insurance policy. You acknowledge that gaps in coverage or exclusions may exist, and that you bear the sole responsibility for understanding your own insurance coverage, payment obligations, and any potential liabilities associated with the use of the RV.
  6. By renting through Camphost, you acknowledge that you have read, understood, and agree to the above Insurance Coverage terms. You also accept the risks, responsibilities, and financial obligations that may arise from any accident, damage, or liability claims during your rental period.

SECTION 11: REIMBURSEMENT POLICY

  1. Filing a RequestYou must submit a reimbursement request in writing within ten (10) days of returning the RV. The request must include the dates/times of the incident, a detailed description, photos or videos, receipts for out-of-pocket costs, and the rental or vehicle identification number.
  2. Eligible ExpensesReimbursement may be considered only for (a) emergency repairs explicitly authorized by Camphost; (b) replacement of mandatory safety equipment; and (c) up to one (1) night of alternative lodging if the RV is unusable and no replacement is provided.
  3. ExclusionsExclusions include unauthorized repairs, normal fuel or maintenance expenses, personal or convenience purchases, lost vacation time, undocumented claims, and any failures occurring while boondocking.
  4. ProcessingCamphost will review requests within ten (10) business days and, if approved, process payments within fifteen (15) business days thereafter. Receipts must be legible and itemized, showing date, vendor, charges, and proof of payment.

SECTION 12: PAYMENT & CHARGEBACK POLICY

All rental fees, charges, and amounts due are final and non-refundable unless explicitly stated otherwise in these Terms. Dissatisfaction with the RV’s condition, performance, or amenities does not justify a chargeback or payment reversal. You may only initiate a chargeback if there is documented fraud by an unrelated third party or a confirmed billing error by Camphost. Any unauthorized chargeback or reversal constitutes a material breach of these Terms, making you liable for the disputed amount, bank fees, merchant services fees, chargeback processing fees, attorney’s fees, arbitration fees, court costs, and administrative expenses incurred by Camphost. Camphost reserves the right to pursue all legal remedies, including arbitration or litigation, to recover such amounts, and may also terminate future rentals or reservations. Disputes over payment or chargebacks must be resolved in accordance with the dispute resolution procedures set forth in these Terms.

SECTION 13: RESERVATION CANCELLATION POLICY

Camphost strives to offer fair and transparent cancellation terms that align with industry standards while recognizing the planning involved in RV rentals. By placing a reservation, you acknowledge and agree to the following cancellation policy:

SECTION 14: INDEMNIFICATION AND WAIVER OF LIABILITY

You agree to defend, indemnify, and hold harmless Camphost, its owners, officers, employees, and agents from and against any and all claims, demands, lawsuits, judgments, damages, liabilities, costs, or expenses (including reasonable attorney’s fees) arising out of or relating to your use or possession of the RV; any breach of these Terms; or any negligence, willful misconduct, or unlawful act by you or anyone operating the RV with or without your permission.

You acknowledge that traveling in an RV involves inherent risks, including the risk of bodily injury, death, or property damage. By renting from Camphost, you voluntarily assume these risks and release Camphost from any liability for injuries, death, or property damage resulting from ordinary negligence, except where such a waiver is prohibited by law. This waiver does not apply to claims arising from gross negligence or willful misconduct by Camphost.

SECTION 15: VEHICLE ABANDONMENT

If you fail to return the RV to the agreed-upon location by the specified date and time, and have not made other arrangements with Camphost within five (5) days, the RV will be deemed abandoned. Camphost may recover the vehicle by any lawful means, and you will be liable for the costs of recovery, towing, storage, legal fees, court costs, and damages authorized by law. You also agree to pay the standard rental rate for each day the RV is held beyond the scheduled return date until it is recovered or returned.

SECTION 16: ARBITRATION AND DISPUTE RESOLUTION

Any dispute, claim, or controversy arising out of or relating to these Terms shall be settled exclusively by binding arbitration administered by the American Arbitration Association (AAA) in the State of Texas. Both you and Camphost waive the right to a trial by jury, and arbitration shall proceed on an individual basis, with no class actions or consolidated arbitrations permitted. If a dispute is not subject to arbitration, it must be filed in the state or federal courts located in Texas, and both parties consent to personal jurisdiction there.

SECTION 17: GOVERNING LAW

These Terms are governed by and construed in accordance with the laws of the State of Texas, without regard to any conflicts-of-law provisions.

SECTION 18: SEVERABILITY

If any provision of these Terms is deemed unenforceable, void, or unlawful by a court of competent jurisdiction, the remaining provisions will remain in full force and effect to the maximum extent permitted by law.

SECTION 19: ENTIRE AGREEMENT

These Terms constitute the entire understanding between you and Camphost concerning the rental of the RV. No oral statements or prior understandings shall modify these Terms unless agreed upon in a written addendum by you and Camphost.

SECTION 20: ACKNOWLEDGMENT

By placing a reservation or renting an RV from Camphost, you acknowledge that you have read, understood, and agree to these Terms. You also acknowledge that any future amendments or updates to these Terms become effective upon notice or posting on Camphost’s website.

If you have any questions about these Terms and Conditions, please contact Camphost before proceeding with your rental. Failure to do so will be deemed acceptance of these Terms in their entirety.
